How Jobtrix collects, uses, shares and safeguards your personal data - written to be read, and aligned with India's Digital Personal Data Protection Act, 2023 and the GDPR.

1. Who we are
This website, jobtrix.in, and the Jobtrix brand are operated by Little Robin Technology Partners Private Limited ("Jobtrix", "we", "us" or "our"), a private limited company incorporated in India. We are a talent-acquisition consulting firm providing executive search, recruitment, staffing and AI-native HR technology services to employers and candidates in India and internationally.
For the purposes of the Digital Personal Data Protection Act, 2023 ("DPDP Act") we act as a Data Fiduciary in respect of the personal data we determine the purpose and means of processing. Where the EU/UK General Data Protection Regulation ("GDPR") applies, we act as a controller for our own recruitment and marketing activities, and as a processor when we handle candidate data on behalf of a client employer.
2. Personal data we collect
We collect personal data that you provide to us directly, that is generated as you use our website, and that we lawfully receive from third parties (such as job boards, professional networks and referral sources).
Data you provide through our forms
- Contact form - your name, email address, phone number, company and the contents of your message.
- Job application form - your name, contact details, résumé/CV, work history, education, current and expected compensation, notice period, location and any information you include in your application.
- Employer / "Post a Job" form - your name, business email, phone number, company details and the requirements of the role you wish to fill.
- Newsletter form - your email address, so we can send you The Talent Brief.
Résumés and supporting documents you upload may contain additional personal data, including special or sensitive categories (for example, information revealing health, disability or demographic details). Please share only what is necessary and relevant to the role.
Data collected automatically
- Cookies and similar technologies - see our Cookie Policy.
- Analytics data - pages visited, referring URLs, approximate location, device and browser type, and interaction events, collected via tools such as Google Analytics 4 and Cloudflare analytics.
- Technical logs - IP address and request metadata processed by our hosting and content-delivery infrastructure (AWS and Cloudflare) for security and reliability.
3. How we use your personal data
- To respond to your enquiries and provide the services you request.
- To assess and process job applications, match candidates to mandates, and present suitable candidates to our client employers.
- To deliver recruitment, staffing and HR-technology services to employer clients.
- To arrange background verification and reference checks where relevant, with appropriate notice or consent.
- To send you our newsletter and relevant updates where you have subscribed or where we are otherwise permitted to do so.
- To operate, secure, analyse and improve our website and services.
- To comply with legal, regulatory and contractual obligations, and to establish, exercise or defend legal claims.
4. Legal bases for processing
Under the DPDP Act we process personal data on the basis of your consent or for certain legitimate uses permitted by the Act. Under the GDPR (where applicable) we rely on one or more of the following:
- Consent - for example, when you subscribe to our newsletter or upload sensitive information.
- Contract - to take steps at your request and to provide services to candidates and clients.
- Legitimate interests - to run and grow our recruitment business, secure our systems and understand how our website is used, balanced against your rights.
- Legal obligation - to comply with applicable laws.
Where processing is based on consent, you may withdraw that consent at any time (see Section 9). Withdrawal does not affect processing carried out before withdrawal.
5. How we share your personal data
We do not sell your personal data. We share it only as needed to provide our services and operate our business, including with:
- Client employers - where you apply for or are considered for a role, we share your candidate profile and application materials with the relevant hiring organisation.
- Service providers and processors - including cloud hosting and email infrastructure (Amazon Web Services, including AWS Simple Email Service and Lambda), Cloudflare (CDN, security and analytics) and analytics providers. Transactional and notification emails are sent from [email protected].
- Background verification (BGV) partners - accredited agencies engaged to carry out identity, education, employment and related checks, with appropriate notice or consent.
- Professional advisers - such as auditors, lawyers and insurers, where necessary.
- Authorities - where required by law, regulation, legal process or a lawful government request.
- Corporate transactions - in connection with a merger, acquisition or reorganisation, subject to appropriate safeguards.
6. International data transfers
We and our service providers may store and process personal data on servers located outside your country, including within and outside India. Where we transfer personal data internationally, we do so in accordance with applicable law and put in place appropriate safeguards - such as contractual protections and, for transfers subject to the GDPR, standard contractual clauses or an equivalent mechanism. Transfers of personal data outside India are made only to jurisdictions and in a manner permitted under the DPDP Act and applicable regulations.
7. Data retention
We keep personal data only for as long as necessary for the purposes described in this policy, including to satisfy legal, accounting, regulatory or reporting requirements. Candidate data is typically retained for the duration of active consideration and for a reasonable period thereafter so we can consider you for suitable future opportunities, unless you ask us to delete it earlier. When personal data is no longer required, we securely delete or anonymise it.
8. How we protect your data
We maintain administrative, technical and physical safeguards designed to protect personal data against unauthorised access, loss, misuse or alteration. These include access controls, encryption in transit, use of reputable cloud infrastructure, and internal policies on data handling. No method of transmission or storage is completely secure, but we work to protect your information and to notify affected persons and authorities of any reportable personal data breach as required by law.
9. Your rights
Subject to applicable law, you have the right to:
- Access - obtain confirmation of, and a summary of, the personal data we process about you.
- Correction - have inaccurate or incomplete data corrected or updated.
- Erasure - request deletion of your personal data where it is no longer required or where you withdraw consent.
- Withdraw consent - where processing is based on consent, at any time.
- Grievance redressal - raise a concern with us and, under the DPDP Act, escalate to the Data Protection Board of India if unresolved.
- Nominate - nominate another individual to exercise your rights in the event of death or incapacity, as provided under the DPDP Act.

12. Children
Our website and services are intended for a professional audience and are not directed at children. Under the DPDP Act, a "child" is an individual under 18 years of age. We do not knowingly collect personal data of children without verifiable consent from a parent or lawful guardian. If you believe a child has provided us personal data, please contact us and we will take appropriate steps to delete it.

We may update this Privacy Policy from time to time to reflect changes in our practices, technology or legal requirements. When we make material changes, we will update the "last updated" date above and, where appropriate, provide additional notice. Please review this page periodically.
